Corporate Contracts Specialist - Legal Assistant

Primary Function: 

The Legal Assistant – Corporate Contracts Specialist enhances attorney effectiveness by organization and tracking of all corporate contract considerations.  Proactively manages the administrative functioning and communications of the Legal Department and performs certain paralegal-type functions.

This position will be the point of contact for all corporate contracts.  Responsible for ensuring all interested parties internally have access and ability to review documents prior to attorney signature.  Responsible for tracking status, scheduling, ensuring priorities are communicated and able to determine status of documents within the workflow at any time. 

Duties and Responsibilities:

  • Receive, track and funnel to appropriate parties all corporate contractual documents.
  • Structure and organize the activities and scheduling to facilitate the efficient operation of the work-flow. 
  • Handle administrative aspects of contract review process, assisting others with their access to and completion of accurate, professional and timely documents. 
  • Maintain accurate records and documentation.
  • Direct issues to attorney.
  • Coordinate with internal and external legal counsel.
  • Maintain an extensive knowledge of department documents and report status.
  • Maintain excellent internal client service.
  • Assist counsel with daily operations.
  • Comply with all safety policies, practices and procedures. Report all unsafe activities to supervisor and/or Human Resources.
  • Participate in proactive team efforts to achieve departmental and company goals.
  • Perform other duties as assigned.

Knowledge, Skills, and Abilities:

  • Strong knowledge and understanding of contract documents and related legal considerations.
  • Competency with using Work-Zone or similar collaboration tool.
  • Strong ability and experience developing and maintaining scheduling.
  • Ability to build trust quickly and maintain a professional rapport with all team members.
  • Ability to maintain attention to details at all times.
  • Proficient in the use of spreadsheets, database and word-processing applications.
  • Excellent written and oral communication, and interpersonal skills.
  • Must be self-motivated and have ability to work independently in a fast-paced contracts environment.
  • Excellent time management skills to include setting and meeting deadlines.
  • Ability to prioritize and organize.

Education and Experience:

  • High School Diploma
  • Eight (8) plus years’ experience in a legal environment.
  • Extensive experience and thorough understanding of corporate contracts.
  • Experience with insurance – business disputes or litigation is a plus.
  • Legal education a plus.

Physical Demands:

  • Duties are performed in an office environment.
  • Must be able to remain in a stationary position at least 50% of the time. 
  • The person in this position needs to occasionally move about inside the office to access file cabinets, office machinery, etc. 
  • Constantly operates a computer and other office productivity equipment.
  • The person in this position frequently communicates with co-workers and clients.  Must be able to exchange accurate information.
